  • **Role Description**
  • This is a Full-time remote role for an Order Operations Specialist in E-commerce. The specialist will oversee order management, including processing online orders, tracking shipments, updating inventory systems, and resolving order discrepancies. Additional responsibilities include providing exceptional customer service by addressing inquiries, managing returns and exchanges, and ensuring customer satisfaction. The role also involves maintaining consistent communication with logistics and support teams to ensure smooth operations.
  • **Key Responsibilities**
  • Process and monitor customer orders from receipt through delivery.
  • Place and confirm orders with suppliers.
  • Create shipping labels through DHL, Sendcloud, or other logistics platforms.
  • Upload shipping labels and order information to supplier portals.
  • Monitor supplier order statuses and follow up on delayed or incomplete orders.
  • Update tracking numbers and shipment statuses in Shopify and marketplace systems.
  • Identify late, cancelled, out-of-stock, or problematic orders and escalate them quickly.
  • Communicate with suppliers, warehouses, marketplaces, and logistics partners.
  • Manage order cancellations, returns, refunds, and delivery issues.
  • Verify that refunds are processed correctly by suppliers and marketplaces.
  • Maintain accurate order records and operational documentation.
  • Review open order issues daily and ensure that pending actions are completed.
  • Support the improvement and automation of order-management processes.
  • Prepare weekly reports on delayed orders, cancellations, returns, refunds, and operational performance.
  • **Requirements**
  • Previous experience in e-commerce operations, order management, logistics, customer service, or a similar role.
  • Strong attention to detail and ability to work accurately with large numbers of orders.
  • Good understanding of order fulfilment, shipping, tracking, returns, and refunds.
  • Experience with Shopify or other e-commerce platforms.
  • Experience with marketplace platforms such as Mirakl, eBay, Amazon, or similar systems is an advantage.
  • Familiarity with DHL, Sendcloud, or other shipping platforms is preferred.
  • Strong organisational and problem-solving skills.
  • Ability to prioritise urgent issues and meet operational deadlines.
  • Good written and spoken English.
  • Comfortable working with Excel or Google Sheets.
  • Able to communicate professionally with international suppliers and partners.
