- At PHIX, we’re building a globally recognised British fashion menswear brand inspired by rock and roll culture, sharp tailoring, and elevated design. Operating across the UK, US, and Europe, we are now looking for a highly detail-oriented E-Commerce Finance & Reconciliation Associate to strengthen our financial controls as the business scales internationally.
- This is not a standard bookkeeping role. We’re looking for someone investigative, analytical, and highly organised, someone who can identify discrepancies, reconcile financial data accurately, and ensure costs across the business are being monitored properly.
- Key ResponsibilitiesVAT, Tax & Compliance Support
- Prepare and support UK VAT returns
- Reconcile VAT across sales, refunds, imports, duties, and supplier invoices
- Maintain accurate VAT schedules and audit support documentation
- Support customs and import duty reconciliation
- Financial Reconciliation & Investigation
- Investigate billing discrepancies, duplicate charges, and missing payments
- Review supplier invoices against purchase orders and agreed terms
- Monitor supplier deposits and outstanding balances
- Review DHL/shipping invoices for overcharges or billing errors
- Reconcile e-commerce platform fees, fulfilment charges, and refund reporting
- Freight, Logistics & Landed Cost Checks
- Reconcile freight, import duty, and fulfilment costs
- Support landed cost calculations across shipments
- Review 3PL invoices including storage, pick & pack, and handling fees
- Flag unexpected logistics costs for management review
- Transaction Review & Reporting
- Reconcile bank transactions across UK and US entities
- Perform supplier statement reconciliations
- Assist with inventory and COGS reconciliation
- Prepare reconciliation summaries and payment schedules
- Support royalty tracking for brand collaborations
- Maintain organised digital financial records
- RequirementsEssential
- 2+ years bookkeeping/accounting experience in e-commerce or online retail
- Strong UK VAT knowledge and reconciliation experience
- Experience reconciling Shopify/payment processor transactions
- Familiarity with shipping/logistics billing
- Strong Excel or Google Sheets skills (VLOOKUP/XLOOKUP, Pivot Tables)
- Strong investigative mindset with excellent attention to detail
- Excellent written and spoken English
- Reliable remote working setup and internet connection
- Preferred
- Xero experience
- Exposure to UK & US entities
- US sales tax awareness
- Experience with DHL/FedEx billing
- Experience with 3PL fulfilment reconciliation
- Fashion or consumer goods e-commerce experience
- Inventory and COGS reconciliation experience
- Working Arrangement
- Fully remote role based in the Philippines
- Flexible part-time hours
- Some overlap with UK working hours required
